This Privacy Policy explains how WarrantyNest collects, uses, stores, shares and protects personal data, invoices, Product Health Cards, AI extraction data, WhatsApp inputs and account information.

1. Introduction and scope

This Privacy Policy explains how WarrantyNest collects, uses, stores, shares, protects and deletes personal data and product-related information when you use our website, dashboard, Product Health Cards, Record Wallet, invoice extraction, warranty intelligence, document vault, reminders, service history, WhatsApp or messaging-channel features, support channels and related services.

WarrantyNest is operated by Neoptima Marketing Solutions under the trade name WarrantyNest. For the purposes of applicable Indian data-protection law, Neoptima Marketing Solutions acts as the Data Fiduciary in relation to the personal data for which it determines the purpose and means of processing.

By using WarrantyNest, creating an account, uploading a document, forwarding an invoice, using AI extraction, creating a Product Health Card or purchasing/using paid records, you acknowledge that you have read this Privacy Policy. Where consent is required by law, we will seek your consent in the manner required by applicable law.

This Privacy Policy should be read together with our Terms of Use. Words used here may have the same meaning as in the Terms unless the context requires otherwise.

2. Personal data and information we collect

We collect only information reasonably required to provide, secure, maintain, improve and support WarrantyNest. The exact information collected depends on how you use the service.

This may include:

  • Account information such as your name, email address, phone number, login identifiers, authentication details and account settings.
  • Product Health Card information such as product name, category, brand, model number, serial number, IMEI, purchase date, warranty duration, warranty end date, service history, return windows, reminder settings, notes and product ownership details.
  • Uploaded documents such as invoices, warranty cards, service receipts, installation proof, AMC proof, product photos, serial-number photos and any document metadata attached to those files.
  • Invoice and seller information extracted or entered into the app, including invoice number, seller name, marketplace/store name, GSTIN, PAN where visible, billing/shipping details, product line items, amounts, tax details and payment references where present on the document.
  • Record Wallet and payment-related information such as free records, paid records, used records, pack purchases, transaction status, payment IDs, gateway references, refunds, chargebacks and billing metadata. We do not intentionally store full card numbers or sensitive payment credentials on our own systems.
  • WhatsApp or messaging-channel information such as the phone number used to contact WarrantyNest, message metadata, forwarded media, message status, delivery metadata and content required to process your request.
  • Technical and usage data such as device type, browser, IP address, operating system, pages visited, actions taken, timestamps, error logs, crash logs, feature usage, upload attempts, AI usage logs and security events.
  • Support and grievance data such as emails, screenshots, issue descriptions, account identifiers and documents shared with us for troubleshooting, legal, privacy or grievance handling.

3. Sensitive nature of invoices and product documents

Invoices and product documents can contain personal data and commercially sensitive household information. They may reveal what products you own, where they were delivered, how much you paid, where you bought them, your phone number, your address, payment references, device identifiers, serial numbers, GST details or other information about you or your household.

You should upload only documents that are necessary for managing your Product Health Cards and only documents that you own or have permission to store. If a document contains another person’s personal data, you are responsible for ensuring that you have a lawful basis or their consent to upload and store it in WarrantyNest.

WarrantyNest does not require you to upload every page or every document. Where possible, avoid uploading unnecessary sensitive information that is not needed for product ownership, warranty or service tracking.

4. Why we use your data

We use personal data and product information only for purposes connected with operating, securing, supporting and improving WarrantyNest, or where required by law.

We may use your information to:

  • Create and manage your account and authenticate your access.
  • Create, display, update and manage Product Health Cards.
  • Store invoices, warranty cards, service records, product photos and related documents.
  • Extract invoice fields, product details, purchase dates, warranty dates and other useful information using OCR, AI-assisted parsing and automated tools.
  • Suggest warranty durations, warranty end dates, component warranties and review labels using warranty intelligence, cached warranty policies, AI systems and search tools.
  • Generate reminders for warranty expiry, return windows, service dates, AMC dates or other product-related events.
  • Manage Record Wallet balances, paid record packs, transaction history, payment status, refunds, chargebacks and fraud checks.
  • Provide customer support, troubleshoot issues, respond to complaints, handle grievances and process data-rights requests.
  • Detect, prevent and investigate abuse, fake invoices, excessive AI calls, automated uploads, security incidents, payment fraud, policy violations and unlawful activity.
  • Improve extraction quality, user experience, reliability, security, product design and internal operations.
  • Comply with applicable laws, court orders, government directions, tax/accounting requirements, consumer-protection obligations and legal processes.

6. AI, OCR and warranty intelligence processing

WarrantyNest may use artificial intelligence, machine learning, OCR, automated parsing, search tools, cached warranty policies and other automated systems to read invoices, identify products, suggest warranty periods, create Product Health Card drafts and improve warranty-related workflows.

When you use AI extraction or warranty intelligence, your uploaded document or extracted fields may be sent to or processed by third-party AI, OCR, search, infrastructure or cloud providers. These providers may process the data in India or outside India depending on their systems, locations and service architecture.

We aim to limit the data sent to third-party AI systems to what is reasonably necessary for the requested feature. However, invoices and product documents may contain personal information, so you should avoid uploading documents you do not want processed for these purposes.

AI output is used to assist you; it is not treated as verified fact. You are responsible for reviewing and correcting extracted or suggested data before relying on it.

AI/OCR processing may involve:

  • Reading document images or PDFs to detect text and layout.
  • Extracting product names, model numbers, serial numbers, IMEI numbers, dates, seller details and warranty clues.
  • Comparing extracted information with cached warranty policies or publicly available sources.
  • Creating confidence labels, review notes, missing-field prompts and warranty suggestions.
  • Logging AI usage attempts, feature usage and errors to prevent abuse and control cost spikes.

7. WhatsApp and messaging-channel privacy

If you forward invoices or documents through WhatsApp or another messaging channel, we may receive the message content, attached media, phone number, message metadata and delivery-related information required to process your request.

WhatsApp, Meta and other messaging providers are independent third parties. Their own terms and privacy policies apply to your use of their services. WarrantyNest is not responsible for how those third-party platforms process data before it reaches us or after it leaves our systems through those platforms.

We do not use your phone number or messaging data for unrelated marketing without your separate consent. We may use messaging channels to respond to your requests, process forwarded invoices, send service-related messages, deliver reminders if enabled and provide support.

Messaging delivery can fail, be delayed, compressed, converted, blocked or affected by third-party platform rules. You should not treat WhatsApp or any messaging channel as a guaranteed delivery or storage system.

8. Who we share data with

We do not sell your personal data. We do not share your invoices or Product Health Card records with advertisers for unrelated advertising. We may share personal data only where reasonably required to provide, secure, support, improve or legally protect WarrantyNest, or where required by law.

We may share data with:

  • Cloud hosting, database, storage and infrastructure providers used to operate WarrantyNest.
  • AI, OCR, search and warranty-intelligence providers used for invoice extraction and warranty enrichment.
  • Authentication and security providers used for login, session management, abuse detection and account protection.
  • Messaging providers such as WhatsApp, email or SMS providers used for invoice intake, reminders, notifications and support.
  • Payment gateways, banks and payment processors used for paid record packs, refunds, chargebacks and transaction verification.
  • Analytics, logging and error-monitoring providers used to understand reliability, usage and technical failures.
  • Professional advisers, auditors, accountants, legal advisers or consultants where reasonably required for business, compliance or dispute handling.
  • Law enforcement, courts, government authorities, regulators or other third parties where required by law, legal process, court order or to protect rights, safety and security.
  • Successors or assignees if WarrantyNest is involved in a merger, acquisition, restructuring, sale of assets, financing or business transfer, subject to appropriate protections.

9. Cross-border processing and service providers

WarrantyNest may use a mix of Indian and foreign infrastructure, cloud, AI, messaging, payment and analytics providers. This means your personal data, documents or extracted fields may be transferred to, stored in or processed in countries outside India, including countries where our service providers or their sub-processors operate.

We take reasonable steps to work with reputable providers and use contractual, technical and organisational safeguards appropriate for the nature of the service. However, data-protection laws and government access rules may differ across jurisdictions.

If Indian law restricts transfer of specific categories of personal data to certain countries or requires additional measures, we will take steps intended to comply with those requirements as they become applicable to WarrantyNest.

10. Payment and Record Wallet privacy

If you purchase paid Product Health Card records, we may collect and store transaction-related information such as pack selected, amount, payment status, payment provider reference, order ID, refund status, chargeback status, invoice or receipt metadata and internal wallet ledger entries.

Payments may be processed by third-party payment gateways and financial institutions. Their own terms and privacy policies apply to payment processing. WarrantyNest does not intentionally store full card numbers, UPI PINs, net-banking passwords or other sensitive payment credentials on its own systems.

We may retain payment, wallet and transaction records for accounting, tax, fraud-prevention, consumer-dispute, chargeback, audit and legal-compliance purposes even if you delete Product Health Cards or request account deletion, to the extent permitted or required by law.

11. Cookies, analytics and device data

WarrantyNest may use cookies, local storage, session storage, analytics tools, logs and similar technologies to keep you signed in, remember preferences, secure the service, measure performance, detect abuse, improve user experience and understand how the product is used.

Some browsers allow you to disable cookies or local storage. Doing so may affect login, dashboard access, upload flows, extraction state, wallet display or other features.

We may use privacy-conscious analytics and logging to understand errors, page performance, feature usage and abuse patterns. We do not use invoice contents or Product Health Card records for unrelated advertising targeting.

12. Data retention, Trash and deletion

We keep personal data and product records for as long as reasonably necessary to provide WarrantyNest, maintain your account, preserve Product Health Cards, comply with law, resolve disputes, enforce terms, prevent abuse, support security and maintain payment/accounting records.

Moving a Product Health Card to Trash may hide it from your dashboard while keeping it recoverable for a period. Restoring a card may bring back its associated history where technically possible.

Permanent deletion is intended to remove the Product Health Card and associated active records from the service, subject to technical limitations and retention needs. Shared documents linked to multiple Product Health Cards may be handled carefully to avoid breaking other active records.

Some data may remain for a limited period in backups, logs, security systems, payment records, accounting records, audit trails, legal records, abuse-prevention records, cache systems or third-party systems where deletion is not immediate or where retention is legally or operationally necessary.

Deleting data from WarrantyNest does not automatically delete information already held by third-party brands, sellers, marketplaces, payment providers, WhatsApp, email/SMS providers, AI providers, cloud providers or other external services outside our control.

13. Security measures and limitations

We use reasonable technical and organisational measures designed to protect personal data and uploaded documents, including access controls, authentication, database security rules, storage controls, monitoring, logging and internal safeguards appropriate for an early-stage product.

However, no website, app, cloud storage system, messaging platform, AI system, network or internet transmission can be guaranteed to be completely secure, uninterrupted or error-free. You use WarrantyNest with the understanding that residual security risk exists.

You are responsible for protecting your login credentials, devices, email, phone number, WhatsApp account and any exported or downloaded records. If you suspect unauthorised access, contact us immediately.

14. Your privacy rights

Subject to applicable law, including the Digital Personal Data Protection Act, 2023 and applicable rules, you may have rights in relation to your personal data.

These may include the right to:

  • Access information about personal data we process about you.
  • Correct, complete or update inaccurate or outdated personal data.
  • Request deletion or erasure of personal data, subject to legal, contractual, tax, payment, fraud-prevention, backup, security and operational retention requirements.
  • Withdraw consent for processing where processing is based on consent, with the understanding that withdrawal may limit or stop your ability to use affected features.
  • Raise a grievance with our Grievance Officer.
  • Nominate another person to exercise your rights where such right is available under applicable law and implemented by us.

15. How to make privacy requests

To request access, correction, deletion, withdrawal of consent or to raise a privacy concern, contact us using the Grievance Officer details in this policy. We may ask you to verify your identity before processing the request to protect your account and documents.

Please include your full name, account email or registered phone number, Product Health Card reference if applicable, the nature of your request and any relevant screenshots or details. We will respond within timelines required by applicable law and in a reasonable manner considering the nature of the request.

We may decline, delay or limit a request where permitted or required by law, including where we need to retain data for legal compliance, tax/accounting, payment disputes, security, fraud prevention, investigation, exercise of legal rights, backup integrity or protection of other users.

16. Children’s data

WarrantyNest is not intended for use by children under 18 years of age. We do not knowingly collect personal data from children. If you believe a child has provided personal data to WarrantyNest without appropriate consent or supervision, please contact us and we will take appropriate steps in accordance with applicable law.

If a parent, guardian or adult user uploads invoices or product documents relating to a household product used by a child, the adult user is responsible for ensuring that the upload is lawful and appropriate.

18. Changes to this Privacy Policy

WarrantyNest is an evolving product. We may update this Privacy Policy as we add features, change providers, update security practices, launch WhatsApp flows, introduce payment gateways, modify AI extraction, change data-retention practices or comply with legal requirements.

If changes are material, we will try to provide reasonable notice through the website, dashboard, email, WhatsApp or another appropriate channel. Continued use of WarrantyNest after the updated Privacy Policy becomes effective means you acknowledge the updated policy, and where legally required, we may seek fresh consent.

Complaints and grievances will be acknowledged within 24 hours of receipt and resolved within 15 days of receipt where the IT Rules 2021 apply. Privacy requests and complaints under the DPDPA 2023 or consumer-protection laws will be addressed within timelines prescribed under applicable law.
